Modular by design · One closed loop

One closed loop. Forecast leads.

The forecast is the foundation. While we build it, we find what's leaking. Once it's mature, you invest what's truly idle. Three outcomes, one system.

01 · Forecast · Primary

90 days of cash visibility at your fingertips.

90-day cash horizon across all entities and currencies, with p20-p80 confidence bands. Operational buffer hard-coded, never crossed. Aggregated and per-entity. CFO sees the surplus that's safe to invest.

  • · 90-day window, multi-entity, multi-currency
  • · p20–p80 confidence band, no false precision
  • · Operational buffer hard-coded as red line
  • · Idle cash above buffer surfaced for investment

02 · Find · Bonus while forecasting

You stop losing what you've earned.

While we build the forecast, we surface duplicates, vendor-term drift, missed early-payment discounts. $1.5–4M typical recovery on $300M spend. Cross-entity, cross-currency. The data we're collecting for the forecast just falls out.

  • · $1.5–4M / yr typical on $300M spend
  • · Bonus output of forecast pipeline
  • · Cross-entity, cross-currency

03 · Invest · Once forecast is mature

Your idle cash earns 4× more.

Once the forecast is trusted, truly idle cash moves through a marketplace of pre-vetted licensed brokers. Pre-signed agreements with 5+ banks during onboarding. Contracts run directly between you and the provider. We never touch your money.

  • · 4.5%+ yield vs 1.5% deposit average
  • · 5+ banks pre-signed at onboarding
  • · Direct contract between you and provider

Observer reads from your ERP and banks via API connectors, no screen scraping. Atlas normalizes everything into a canonical Knowledge Graph. Copilot recommends, never executes. Sentinel learns from every decision and updates models weekly.

How It Works

Observation and automation as the same loop. That's why Kairos surfaces what others miss.

Every competing tool solves one facet. RPA automates the known path. Process mining shows deviations but never acts. AP AI sits on top of your workflow. None are the engine that watches real behavior, learns from it, and turns it into action as one closed system.

01

Observe

Read-only API connectors into your ERP and your banks. For European entities we connect via Open Banking (PSD2) under your bank's sanctioned consent flow. For other geographies we use a licensed aggregator (Plaid or equivalent) as the first-stage option. No screen scraping, no stored credentials, read-only scopes only, no payment initiation. Optional finance mailbox access if your team approves, so we capture signed agreements and contractual terms alongside the transactions.

02

Normalize

A canonical Knowledge Graph resolves vendors, invoices, POs, payments, and bank movements across every source. Multi-entity reconciled. Duplicates collapsed. No migration.

03

Act

AI agents run pattern detection, quantify opportunity in dollars, and hand your team specific next steps with a confidence score. Agents never execute. Every action is human-approved.

04

Learn

Every AP team decision (accept, reject, modify, escalate) is captured through Sentinel. Models update weekly. Process drift between documented and actual flow is detected automatically.

Bank integrations run under PSD2 in the EU, licensed aggregators elsewhere. Contracts run between you and your bank. Kairos never touches funds, never holds credentials, never initiates a payment. Read-only by design.

Then the loop runs again, refined by the last cycle. More usage produces richer observations, richer observations produce better agents. The system gets more accurate, not more stale, with time.

Built into your environment

An enhancement to your existing ERP. Built for the office of the CFO.

Read-only on top of SAP, Oracle, Odoo. No migration. CFOs see the morning briefing. Finance Operations handles execution. Configure which processes to monitor first.

CFO

You see what no one had time to find.

Working capital opportunities, vendor relationship risks, cash position. All in your morning briefing. Decide once. The team executes.

Finance Operations

You handle judgment, not data entry.

Kairos handles the routine: exception classification, duplicate detection, payment timing. Your team focuses on relationships and judgment, not data entry.

Use cases

What shows up in the Morning briefing.

Price mismatch / Morning 09:12

$18,400 invoice → $1,300 overpay caught

SugarCo invoice flagged at +7.6% over market median. Q4 rate card supersedes the Q3 reference in PO. Pattern across 12 SugarCo invoices = $15,600 captured this quarter.

With Kairos: one briefing, one click, done by 8:15.

Duplicate detected / Friday 15:42

$52,000 duplicate caught. Payment batch runs in 4 hours.

Invoice #5829 matches Invoice #5801 at 97% confidence. Same vendor, same amount, dates within 3 days. Reference numbers different. The kind of pattern that requires reading 6 months of vendor history in seconds. What no AP team catches manually under deadline pressure.

Payment drift / Tuesday 11:00

$4.7M working capital tied up unnecessarily

Eight vendors with contracted net-60 terms. We've been paying day 30–45 in practice. No one authorized the shift; it crept in over 18 months. By contract, we owe nothing for an extra 15–30 days. Atlas surfaced the gap between contracted and actual payment timing across all entities.

Kairos one-click: Reset payment timing to contract terms · Cash position projected +$4.7M / 30 days

AR analysis / Wednesday 09:14

$2.1M flagged for proactive action

Three customers aged 60+ days. Atlas joined AR aging + dispute history + payment patterns. Each delays exactly 18 days past terms before paying. Surfaced three weeks before quarter-close review would have caught it.

Time to Value

Payback in 6 months.

Six months is our planning horizon. The period during which Kairos pays for itself. Realistic timeline calibrated against industry benchmarks. Your timeline starts on go-live, not on contract signature.

Week 2

First insights

Sensor Suite live across your ERP audit trails, banks, and finance email. Observer maps your AP process. Top-3 working-capital leaks surfaced, quantified, named, ranked.

Week 6

First captured value

Atlas live with canonical view of vendors, invoices, POs across all entities. First exception decisions made with Copilot recommendations. First dollar amounts recovered.

Month 3

Compounding ROI

Copilot in daily production on the exception queue. Working-capital opportunities flowing weekly into the Monday briefing. Sentinel begins learning. Captured value grows week over week.

Month 6

Payback achieved

Forecast mature, marketplace active, weekly briefings in production. Kairos has paid for itself. Continuous expansion to new process surfaces beyond the 6-month horizon.

ROI Guarantee

If payback isn't reached within 12 months on the design partner contract, the contract is reset. We share the risk.

Your Pace

Configure Kairos to watch what matters today.

Start with one process, AP exception handling for one entity, say. Get to first captured value. Build trust with your team and your CISO. Then expand: AR analysis, vendor terms harmonization, FX exposure forecasting, treasury optimization. The Sensor Suite is layered: turn on the surfaces you need today, leave the rest unchanged. Configure once, expand at your pace.

Phase 1: AP exceptions

Start where leakage is loudest.

Phase 2: AR + working capital

Expand once Atlas has 90 days of canonical data.

Phase 3: Treasury + cross-entity

Full operating loop, marketplace integration.

Most enterprise tools demand all-or-nothing deployment. Kairos lets you own the pace.

Security

Your data never leaves your infrastructure. We never see it — by architecture, not just by policy.

Kairos deploys inside your existing security boundary. Single-tenant. Read-only on day one. Every action a human approves before it happens. No vendor ever holds your AP records.
